Pioneer Cabins Rental Terms

A Word about the Cabins
All of our cabins have rocking chairs on the front porch, where you can enjoy the spectacular scenery and relax.  Folks who come to Townsend are looking for relaxation and to be refreshed, and we try to provide just that.  There are no phones inside the cabins, but most mobile phones work in the area. We also have a computer and printer for guests to use our high-speed Internet access, as well as Wi-Fi wireless internet access if you have your own laptop, at the customer center area of the office (if you must think about work during your vacation).

All of our cabins are fully furnished and ready to settle in to. All you need are groceries, charcoal for the grill, and a flashlight. All cabins have full kitchens, which are equipped with dishes, cookware, toasters, microwaves, coffee makers and we even provide the coffee!

Most guests like to visit the Great Smoky National Park, and we have books and maps that you can borrow at the office to help plan your day, and can give you some hints on some out of the way places we have discovered.  Some guests like to stay on the property for the majority of the time, so we also provide TV's with VCR and DVD players, and we have a large selection of videos and DVDs you can borrow without charge.

There is no hidden charge for linens. Four sets of towels are provided per person per week, but bring your own river and picnic towels. There is wood for the fireplace (in season), back decks with picnic tables, and charcoal barbecue grills, books and magazines to read, games to play, and all cabins are air-conditioned and heated for year-round use. Woods separate each cabin for maximum privacy, yet all cabins have spectacular mountain views.

If you need to leave an emergency phone number for your family, please use our personal home phone number (865-448-1278) and we will deliver a message to the cabin.  Please limit these calls to emergencies only.

Farm Activities
There is no charge for the petting farm or the pony rides.  These are available only to our registered guests staying at Pioneer Cabins and Guest Farm. Pony rides are at 10:00 AM daily (weather permitting).  We meet at the small barn across from the Wranglers Den cabin.  A liability waiver is required to be signed to participate in the pony ride activity.  The petting farm is open during daylight hours every day.  The mile of hiking trails on the property and the swing set are always available to be enjoyed.

ü       Fully Equipped Kitchens (dishes, cookware, toaster, microwave, coffee maker, and even coffee, sugar, and creamer)

ü       Outdoor Hot Tub, Picnic Table, and Charcoal Grill on the private deck and rocking chairs on the front porch.

ü       Fireplace in all cabins and the first rack of firewood is provided (from October to April).

ü       Satellite TV with VCR and DVD player in all cabins. 

ü       All linens, bedding, and towels provided.

ü       All cabins are air-conditioned and heated for year round use.

ü       Wooded areas separate each cabin for privacy, and each cabin has a private parking area.

ü        All cabins have mountain views.  Some cabins also have prairie views.

Farm and Office Facilities – No additional charge and only for Pioneer Guests.

ü        Daily pony rides at 10:00AM, weather permitting, year round.

ü        Petting Farm with goats and geese available during daytime hours.

ü        Wild Flowers; Herbs; & Organic Vegetable Fruits and Berry Gardens for your harvest (from May to September). 

ü        Hiking trails that cross the heavily wooded section of the property.

ü       Customer Center with treadmill, PC and Printer with Internet Access, and Laundry Facility

ü        Area guidebooks, board games and movies on DVD or VHS are available for you to borrow.

 
TERMS
There is a two-night minimum for all cabins (except Wrangler’s Den & Thunder Ridge which have a 3 night minimum).  All cabins have a 3 night minimum over holidays and during the month of October; 4 nights for Thanksgiving, Christmas, & New Year’s).  A deposit is required in advance for $100 or 1/3 the total amount (whichever is greater).

All prices are subject to 14.25% sales and lodging tax. 

SEASONS and DISCOUNTS
Regular Season Extended Stay Discount: 10% discount for 6 nights stay; 20% discount for 13 nights stay; 30% discount for 30 nights stay (there are no lodging taxes on a stay of 30 consecutive nights or more).
Peak Season: May 28-31; June 11-July 31; September 3-6; October 8-October 31; November 19- 27; and December 17 - Jan 2, 2011; Extended Stay Discount: 10% discount for 7 nights stay; 20% discount for 14 nights stay.
There are no extended stay discounts during the month of October or during holiday periods.  
*Winter Special Offer: January 3 – February 11 and February 15 - March 11, 2010; 10% additional discount for 3 nights stay; 20% additional discount for 6 nights stay

When you book by phone, you can make a deposit by VISA, MasterCard, or by personal check.  If paying by personal check we will hold your reservation request for four postal days for receipt of your deposit check or money order. Upon receipt of your deposit, we will send you a confirmation notice which will assign you a combination lock number for your cabin during your stay. The balance is due by personal check two weeks in advance of your stay or it can be charged to VISA or MasterCard or can be paid in cash, traveler’s checks, or money order upon arrival. No personal checks will be accepted on arrival.

No Smoking is allowed inside the Pioneer cabins, but smoking is allowed outside on the porch or in the Country Manor suites and Barn.   No Pets are allowed on the property.  (There are excellent kennels available nearby and there are only two trails in the National Park that allow dogs to be walked.)

Our guests are very peaceful and thoughtful, and our cabins are well maintained, so damage is not a factor in our cabins.  However, should a guest cause any damage, they will be responsible for the cost of repair, should any be required.  Likewise, our customers are very tidy and therefore cleaning the cabins normally takes a reasonable amount of time, as the normal cabin etiquette is, as the old country expression goes, to “leave it like you found it”.  If the cabin is left in extremely bad condition, an additional cleaning fee of $100 will be charged.  Guests renting more than 1 cabin will be charged a security deposit of $100/cabin.  Townsend is the peaceful side of the Smokies, so loud parties are not permitted.

Check in time is from 3:30 p.m. to 8:00 p.m. Arrangement can be made for late check in.  Check Out is by 10:30 a.m. on day of departure.     

CANCELLATIONS are accepted with a minimum of two week's notice for full refund, less $30 processing fee.  For Multiple cabin rentals and for Wrangler’s Den and Thunder Ridge cabins, the notice must be given 45 days in advance to receive the refund. Cancellations given with less that the two weeks (or 45 days for large or multiple cabins) notice will forfeit the full deposit amount unless we are able to rent the cabins for those nights to another group.  There are no refunds for early departure.
